READ THIS POLICY CAREFULLY BEFORE USING OUR WEBSITE OR SERVICES.

This Security Policy forms part of our Terms and Conditions and should be read together with our Privacy Policy. By using our website, you acknowledge and agree to the security practices described below.

Part 1: Introduction

This policy explains:

  • What we do to protect your information and transactions;
  • What we cannot guarantee;
  • What you must do to protect yourself; and
  • How we handle credit card information and phishing attempts.

Part 2: Our security responsibilities

We take the security of your personal information and payments very seriously. We will ensure that:

2.1 Secure hosting environment

We host our website in a secure server environment that uses a firewall and other advanced security measures to prevent interference or access from outside intruders.

2.2 Data protection

The information you give to us that is stored on or passes through our systems is protected. Encryption (SSL – Secure Socket Layer) is used to protect the personal information you give us where appropriate.

2.3 Secure third-party links

The links from our systems to systems under the control of third parties (for example, our payment gateway and couriers) are secure.

2.4 Regular backups

We perform regular backups of data to ensure it can be recovered in the case of a disaster (e.g., server failure, data corruption, or cyber incident).

2.5 Access logging

We log all access to our systems. If any unauthorised behaviour should occur, this will assist us in identifying and resolving the issue.

2.6 Payment security

We take reasonable steps to secure your payment information and use a payment system that is sufficiently secure with reference to accepted technological standards at the time of the transaction and the type of transaction concerned.

2.7 Employee access

Only authorised employees who require access to perform their jobs (e.g., processing your order, arranging delivery) are granted access to customer data. All such employees are bound by confidentiality obligations.

Part 3: Our security disclaimers

Please note the following important limitations:

3.1 Third-party systems

The third parties whose systems we link to (including payment gateways, couriers, and cloud service providers) are responsible for the security of information while it is collected by, stored on, or passing through the systems under their control. We are not liable for security breaches on their systems.

3.2 No guarantee against harmful code

We will use all reasonable endeavours to ensure that our website and your information is not compromised. However, we cannot guarantee that no harmful code will enter our website (for example, viruses, bugs, Trojan horses, spyware, or adware). You should be aware of the risksassociated with using websites (addressed in Part 4 below).

3.3 Limited liability for certain losses

We cannot take responsibility for any problem or loss that is caused by:

  • Information you provided to us that was inaccurate or incomplete;
  • Your computer being compromised in some way (e.g., virus, malware, or unauthorised access);
  • Something beyond our reasonable control (e.g., load shedding, internet outage, or cyberattack on our hosting provider).

We will, however, do our best to help you if we can.

3.4 No warranty of absolute security

While we implement reasonable security measures, you use our website and transmit data at your own risk.

Part 4: Your security responsibilities

Security is a shared responsibility. You play an important role in protecting your own information.

4.1 Recommended steps

You should take the following basic security measures:

  • Install and activate appropriate security software on your computer or device. This should include anti-virus, anti-spyware, and anti-spam software.
  • Run regular scans of your computer for viruses and malware.
  • Update your security software to ensure you are always running the current version.
  • Keep your operating system and browser updated with the latest security patches.

4.2 Additional steps for safer browsing

Other steps you should take to help protect yourself include:

  • Check your Internet browser’s security settings to make your browsing more secure (e.g., enable “Do Not Track”, block third-party cookies, disable automatic downloads).
  • Look for secure pages when filling in your sensitive personal information. Look for a small yellow padlock commonly seen at the bottom right of your browser or next to the address bar, and check that “http” changes to “https” on the address bar.
  • Log out after you have transacted electronically, especially if you are using a shared or public computer.
  • Do not save your login details on public or shared computers.

4.3 Protecting your password

If you create an account on our website, you are responsible for keeping your password secure. You should:

  • Never share your password with anyone – not even with us. We will never ask for your password.
  • Never send your password via email – email is not secure.
  • Make your password as strong as possible – use a combination of uppercase letters, lowercase letters, numbers, and special characters. Avoid using easily guessed information like your name, birthdate, or “password123”.
  • Use a unique password for our website that you do not use elsewhere.
  • Change your password regularly and immediately if you suspect it has been compromised.

4.4 Reporting suspected compromise

If you suspect that your account or password has been compromised, please contact us immediately at sales@unicopy.co.za so that we can assist you in securing your account.

Part 5: Credit card information and payment security

5.1 Safe and secure transactions

Transacting with us electronically (including transacting and using your credit card on our website) is safe and secure.

5.2 Payment processing

We do not get involved in any credit card transactions directly. All credit card transactions are handled or acquired for us via approved payment gateways (e.g., PayFast, Yoco, or similar).

No credit card details are ever stored on our website or our servers.

Our selected payment gateways use the strictest form of encryption, namely Secure Socket Layer 3 (SSL3) or higher. You may go to their websites to view their security certificate and security policy.

5.3 Payment verification (Certificate Authority)

A Certificate Authority (or CA) checks, verifies, and certifies our service provider’s company registration documents and domains to ensure that nobody can impersonate them to obtain your payment information.

5.4 Secure URL – how to verify you are safe

Once you begin the checkout process, you will notice that the site URL changes to “https” and a small padlock will appear at the bottom of your screen or next to the address bar. This is indicative of a secure Internet transaction.

You should never enter your credit card details on any page that does not show “https” and a padlock.

5.5 Verification programs

We may support the Verified by Visa program or the MasterCard SecureCode. These are additional security layers provided by your bank. You can still use your Visa or MasterCard credit card as payment for an order, but we will not ask you to enter your Verified by Visa password or MasterCard SecureCode – that verification happens between you and your bank.

Part 6: Phishing – how to protect yourself

6.1 What is phishing?

Phishing is a criminal attempt to obtain your sensitive information (such as usernames, passwords, or credit card details) by pretending to be a legitimate company. Criminals may send you an email masquerading as an email from us, asking you to access your account or verify information via links in the email, or diverting you to a fake payment gateway website.

6.2 How to spot a phishing attempt

  • Check the sender’s email address – our emails always come from @unicopy.co.za. Be wary of slight misspellings like @unicopysecure.co.za or @unic0py.co.za.
  • Hover over links before clicking – see where the link actually goes.
  • Look for poor grammar and spelling – many phishing emails contain errors.
  • Be suspicious of urgent or threatening language – e.g., “Your account will be closed immediately if you do not verify.”

6.3 We will never ask for your password via email

We will never ask you to confirm your username and password or other sensitive information by clicking on any links in an email (other than the email link we send you at registration to verify your email address).

6.4 Only log in from a secure URL

You must only log in to your account from a secured page (look for “https” and the padlock). Never log in via a link in an email – type our website address directly into your browser.

6.5 Report suspected phishing

Please report any suspected phishing attacks to us immediately at sales@unicopy.co.za to prevent any harm to you or other users.

Part 7: Our right to take action

We reserve the right to take whatever action we may deem necessary at any time to preserve the security and reliable operation of our systems.

You undertake not to do (or permit anything to be done) that may compromise the security of our systems. This includes, but is not limited to:

  • Attempting to gain unauthorised access to our systems;
  • Introducing malicious code (viruses, worms, Trojan horses) to our website;
  • Performing denial-of-service attacks;
  • Scanning or probing our systems for vulnerabilities without our permission;
  • Reverse engineering or attempting to bypass our security measures.

If we detect any such activity, we may:

  • Immediately block your access to our website;
  • Report the activity to law enforcement; and
  • Take legal action against you for damages.

Part 8: Reporting security concerns

Please report any suspicious or unauthorised activity relating to your use of our website to us directly. Your reports help make our website as secure as we can.

To report a security concern:

  • Email: sales@unicopy.co.za (put “SECURITY” in the subject line)
  • Phone: 031 201 8415

Part 9: Changes to this Security Policy

We may update this Security Policy from time to time. The latest version will always be published on our website. Material changes will be notified via a website banner or email.
